Manor Interior Solutions – Integrated Management System (IMS) Principles for Subcontractors
1. Purpose
Manor Interior Solutions is committed to delivering high-quality, safe, and environmentally responsible projects. Our Integrated Management System (IMS) is designed to meet the requirements of ISO 9001 (Quality), ISO 14001 (Environmental), and ISO 45001 (Occupational Health & Safety).
Subcontractors play a critical role in the successful delivery of our projects. We expect all subcontractors to fully align with our IMS standards to ensure:
- Safe working environments
- Consistent quality of workmanship
- Environmental compliance and minimal impact
Compliance with our IMS is a non-negotiable condition of working with us.
2. General Expectations
We expect all subcontractors to:
Work Safely: Safety is non-negotiable. All activities must follow site safety rules and good practice.
Be Professional: Arrive on time, communicate clearly, and treat everyone respectfully.
Keep Records Updated: Licences, training, insurance, RAMS – these must be valid, current, and accessible.
Report Problems Immediately: Accidents, hazards, delays, or quality issues must be flagged without delay.
Cooperate with Oversight: Audits, inspections, and reviews are part of maintaining standards. Participation is mandatory.
3. Health & Safety (ISO 45001)
We are committed to protecting everyone affected by our work. Subcontractors must:
Provide Risk Assessments and Method Statements (RAMS) before starting on site
Ensure operatives hold relevant CSCS cards or trade qualifications
Provide and enforce use of compliant Personal Protective Equipment (PPE)
Participate in Toolbox Talks, site inductions, and safety briefings
Immediately report accidents, near misses, or unsafe conditions to the Site Manager
Supporting documents:

- First Aid Arrangements
We reserve the right to stop works if basic safety requirements are not met.
4. Quality (ISO 9001)
All subcontracted work must meet project specifications and client expectations. You must:
Deliver work strictly in line with approved drawings, specifications, and materials
Report any non-conformances or deviations immediately before continuing
Participate in quality checks, snagging, and handover reviews
Keep records of certifications, DoPs, installation logs, and batch numbers (especially for regulated products)
Supporting documents:

Substandard work will be logged and may affect future engagement.
5. Environmental (ISO 14001)
You must actively support our environmental objectives by:
- Reducing waste: Segregate on site, minimise offcuts, and use designated skips.
- Preventing pollution: Avoid fuel/oil spills, manage dust, noise, and emissions.
- Using sustainable materials: Prioritise products with low environmental impact where possible.
- Complying with all laws: Follow the Waste (England and Wales) Regulations and Environmental Protection Act.

Environmental breaches will be treated as serious non-conformances.
6. Subcontractor Conduct & Behaviour
All personnel representing your business must:
Be courteous and respectful to clients, staff, the public, and other trades
Refrain from aggressive, inappropriate, or unsafe behaviour
Keep the work area clean, organised, and secure
Adhere to agreed working hours and site rules
Unacceptable behaviour will result in immediate removal from site.
7. Compliance Declaration
By submitting the Pre-Qualification Questionnaire (PQQ) or working on a Manor Interior Solutions project, you confirm that:
- You have read and understood this IMS Subcontractor Principles document
- You and your staff will follow all requirements listed herein
- You accept that repeated non-compliance may result in removal from our approved supplier list
